Walker Fire Auxiliary Meeting Minutes

May 8th, 2010  10:50 am

Co Chairs presiding: Marsha Smades, Betsy Bykerk, Jeffery Morhous

Secretary’s report for the April  10th meeting was read and accepted.

Old Business:

Trash report: We have 93 subscribers. We have $12,311 in the bank, so with expenses, we estimate a five thousand dollar profit. Still holding the seed money separate.

Community Pot-Luck:            After the Annual Meeting. Should start at 12 o’clock.

·         We reviewed that there is an alphabet assignment for dishes to bring. Victoria says that Jeff can update the web site with this info and send an email broadcast.

·         Some people got this info via the newsletter, some did not.

·         Need to make arrangements to get the tables set up early – to set up the food.

·         Betsy, Marsha, others to show up at 9:00am.

·         Note – recommend that no animals for the mayoral race attend because of the food service.

·         Myra has the plates and plastic ware in the fire house kitchen.

·         Make sure all donation jars are set out.

Calendars – Peggy wants someone else to take over for the 2011 edition. Need pictures and reconsider a printing resource. They cost $5 to make and sell for $12, could go to $10.

Ordered 100 – sold 90. Critters of Walker is the theme. We should focus on the Ice Cream social or the Chili pot luck in September for a delivery date. If we get some digital photos by the next meeting, we could all review them.

Mayoral RaceVictoria - we have 7 candidates. Looks like this could be Gonzo’s year. We have $197 so far. The entry fee is only $5.00. We will have voting at the annual meeting.

July 3rd Picnic – Jack has made a request to CostCo for the drinks.

Kristi reports that the dunk tank is not available. She is looking into other options like, if the local high schools might have one.

Joe will call Jacquelyn Michelson to bake stuff. Joe and his Mom will bake 5 cakes.

Myra tells us that a Cake Walk is a big $ item rather than just selling cakes.

Ice Cream Social – Marsha – all taken care of.

Chili PotLuck – September 18th. – Betsy will start calling people now to organize.

Talent show?? After we eat?? Concern that people will ignore performers. Susan will help Betsy. Victoria – quilting. Betsy – Cloggers. Maybe we can do a little more of the History of Walker ‘thing’.

ArtOber Fest – Victoria

·         Betsy had to leave the meeting at 11:45.

·         Loren Bykerk has completed 40 easels.

·         Victoria reviewed the Job assignments. Location, timing, Alcohol,  hors d’oeuvres

·         Last year we had 34 vendors who committed to donate for this year. Sent 34 letters out – got 1 reply so far. Jeffery and Victoria will be going to the ‘MAC’? show to see if they can spot some of these vendors.

·         Review:

·         Room management, food, wine, Art procurement, storage (Carol Guthrie), Auctioneer, Live Auction setup, Minimum value, Artists Bio, Catalogue, Advertising, Ticket Design, cost.

·         Myra says we need a budget so we can figure ticket cost.

·         Kristi says that her friend with Auction experience made her commit to X number of tickets.

·         Kristi – we need to come up with a drop dead time line for all this to happen.

·         Myra – maybe we could reduce expenses. Note that there is a lot of donations and some underwriting but the room and the food is a $5,000 expense.

·         1st cutoff is the Art donations.

·         2nd cutoff is the advertising.          How about a mailer? Send tickets with a return stub/payment?

New Business – Victoria.  Last November we came up with the idea of an Arts & Crafts in November. But that’s bad timing. So we were thinking about a June A & C. Sent info out to some vendors, but we got a weak response, so the A & C is cancelled this year.

About a spot on the ‘Square’. The Prescott Board of Supervisors – declined our request to be considered for a spot on the Square. But, they are going to review the ordinances. We are interested in a spot for November, 2011.

Tim McFarlan – we need a review of the WFA Agendas and Activities for the last several months.

Also a look ahead.

Joe Lupa volunteers to do the write up.
